About AAM

Advanced Association Management (AAM) is a Nebraska-based association management company serving 25+ nonprofit trade and professional associations across seven states, nationally, and internationally. We handle board governance, financial management, membership services, event management, and marketing for organizations that don't have a full-time staff of their own. Our team is small, fast-moving, and no two days look the same.

We also operate RAAM Marketing, a subsidiary providing strategic marketing, branding, and creative services to our clients and beyond.

The Role

We're looking for a Communications & Administrative Coordinator to join our coordinator team. This role is the blueprint for how we want to grow our support capacity, someone who can handle administrative tasks with precision, create polished graphics and social media content, manage data entry across multiple platforms, draft communications, and pitch in on events when needed.

You'll work across multiple client accounts alongside our account executives and coordinators, supporting the behind-the-scenes work that keeps associations running smoothly.

What You'll Do

  • Provide administrative support across multiple association clients: scheduling, correspondence, document management, and follow-through on action items

  • Enter and maintain data in platforms, including GrowthZone (AMS/CRM), Monday.com (project management), and QuickBooks

  • Design graphics for social media, email campaigns, event materials, and member communications using Canva

  • Draft and schedule social media posts, email newsletters (Mailchimp), and member announcements

  • Support event logistics: registration management, vendor coordination, on-site setup, and day-of operations

  • Assist with membership communications, including renewal notices, welcome packets, and directory updates

  • Manage incoming phone calls and emails, routing to the appropriate team member or client contact

  • Prepare meeting materials, take notes, and track follow-up items for board and committee meetings

  • Support the executive team with research, reporting, and project coordination as needed

What We're Looking For

  • Strong attention to detail - you catch errors before they go out the door

  • Comfort with technology and the ability to learn new platforms quickly (we use Microsoft 365, Teams, Monday.com, GrowthZone, Canva, Mailchimp, Expensify, and more)

  • Solid written communication skills - clear, professional, and grammatically sound

  • Graphic design ability for everyday marketing materials (social posts, flyers, email headers) - we're not looking for an agency-level designer, but you should be able to create polished, on-brand content

  • Self-direction and initiative - you see what needs to be done and do it without being asked

  • Ability to manage multiple priorities across different clients without dropping the ball 

  • Professional demeanor and positive attitude - our clients interact with you directly

  • Willingness to travel occasionally for client events and conferences

Bonus points for: Experience in association management, nonprofit administration, or working in a multi-client environment. Familiarity with GrowthZone, Monday.com, or Canva is a plus but not required - we'll train the right person.

  • Competitive salary based on experience

  • Monday through Friday, 8:00 AM – 5:00 PM (in-office, partial remote availability negotiable)
